Terms and conditions

Consultations and bookings

  1. Please be aware that if you have made a booking and not paid a deposit, this booking is not secured and guaranteed and may be given to another client.
  2. Please be aware that all treatments will require a consultation to take place prior to any treatment being carried out if you are a new client. If this is remote (virtual) it is free. Face-to-face consultations are charged at £30. This fee can be put towards the cost of a treatment if you choose to have one. This fee will pay for your skin assessment and the nurses’ time so if you do not choose to have a treatment with us, this fee is not refundable.
  3. Botulinum toxin will require a face-to-face consultation before your treatment appointment to check for your suitability for this treatment, to allow for prescription a prescription to be completed and medication required to be requested.
  4. A non-refundable deposit will be required for botulinum toxin appointment bookings which will be deducted from your final fee for this treatment. This is to cover prescription costs, therefore, if you change your mind and decide not to go ahead with having botox, please be aware that this will NOT be refunded or credited to you in anyway as this is cost is not redeemable. 
  5. We recommended a period of 48 hours for clients to think about their treatments before booking and committing to a treatment which aims to ensure that you are happy to go ahead and have thought about the risks and benefits. 
  6. Faces booking system is used which will send you a Medial Form to complete and a consent form. These need to be read and completed prior to your treatment taking place. Your nurse may take notes during your initial consultation and/or treatment. These will be transferred onto a secure system for insurance purposes (Faces) and kept confidential. All paper copies of notes will be shredded once transferred and kept securely locked away prior.
  7. It is vital that all and as much information about allergies (not just to medications but also food, animals etc) is disclosed along with any other medical history so that your nurse can decide your suitability for treatments. 
  8. If you have ever has a reaction to any treatment before, regardless of however minor you may feel this was, it is essential that you share this information with your nurse to ensure that every effort can be made to prevent this from happening. 
  9. Once your treatment has taken place, you will receive an aftercare form from Faces will instructions of management after your procedure. Your nurse will also discuss aftercare with you in person and may give you some products to take away with your (treatment dependent).
  10. To ensure fair treatment to all our clients, all treatments (apart from complimentary consultations) will require a booking fee. Please note that your booking will not be confirmed and held for you until this is received and therefore may be booked by another client. 
  11. If you are assessed by your nurse as being unsuitable for a treatment, your nurse has the right to refuse to carry out any procedure if it is deemed inappropriate for any reason. 
  12. If anything has changed since your initial consultation with regards to your health, you must inform your nurse as soon as possible. 
  13. If you suffer with cold sores, dermal fillers, particularly those placed within the lips, can cause a flare up. If you suffer with cold sores then you will not be able to have dermal lip fillers with JCW Aesthetics.
  14. If you have had any vaccinations (including boosters) you will be deemed unsuitable for dermal fillers until you have passed 14 days post vaccination.
  15. If you have an autoimmune disease, you may not be able to have dermal fillers. Please contact us for more information to discuss your options.

Cancellations or ‘no shows’

If you cancel your appointment within 24 hours of your treatment, your booking fee will not be refunded to you. 

  1. If you cancel within 72 hours but before 24 hours before your appointment, your nurse will move your appointment time and date for you to a mutually agreeable date and time. The only exception for this is Botulinum Toxin treatments. As a client specific prescription is paid in advance along with a medication prescribed specifically for you, the nurse is not able to redeem either. Because of this, Botulinum Toxin treatments are NONE REFUNDABLE.
  2. Please be on time for your treatments. If we have another client booked in after you and you arrive late and not enough time is left to carry out your treatment, you may have to rebook and pay the booking fee again. This will be down to the discretion of your nurse.
  3. No shows will NOT have their booking fees refunded to them. The nurse’s time has been taken and a loss will have been made as a result of a client not coming for their appointment or cancelling less than 24 hours in advance. This time could have been given to another client and therefore, no refund of booking fees will be granted.

Aftercare

  1. Once your treatment has taken place, you will receive an aftercare form from Faces will instructions of management after your procedure. Your nurse will also discuss aftercare with you in person and may give you some products to take away with your (treatement dependant).
  2. Every effort will be made to reduce any form of harm, side effects or complications occurring during any treatment. Despite the best efforts made, unwanted side-effects and complications can still occur. This will be in your consent form and have been discussed with you by your nurse.
  3. Each and every procedure that you may choose to have will come with its own risks and these will be discussed with you at your consultation so that you can make an informed decision about when choosing to proceed or not. We will also cover this when we consent you and as part of your after care.
  4. Emergency care for anaphylaxis or vascular occlusions caused as a result of a treatment that you have had with JCW Aesthetics will be treated for you free of charge.
  5. This does not include filler dissolving where the client has decided that they no longer wish to have their filler. If this is the case, dissolving fees will apply.
  6. Migration of filler can occur, and although this is not a wanted side effect, it is not considered as requiring emergency dissolving treatment. There may be many reasons that this occurs, and over time, it is likely that filler may move, therefore if you wish to have your filler dissolved for this reason, dissolving fees will apply.
  7. Aftercare extends past your treatment slot. If you have any concerns, signs or symptoms which your nurse has asked you to look out for, please make contact immediately so that you can be brought back into clinic for a review. This is particularly important with any dermal fillers.

Fees

  1. All fees are as displayed and kept up to date on the booking page (Faces).
  2. Fees are subject to change with inflation, rising costs of products and consumables. These changes can take place with immediate effect and can be changed without notice. 
  3. The price you will pay for a treatment is that displayed at the time of booking AND paying your deposit. 
  4. If you have booked an appointment and have not paid a deposit, please note that this booking is not secured and as such, the price is not fixed and may not be honoured if there is a price change between booking and attending your appointment. 
  5. Historic prices that may have been discussed with your nurse are not fixed and only those listed on the booking site at the time you book AND pay your deposit for your treatment will be payable.
  6. Future treatments prices may change without any notice (except for packages previously bought and paid for).
  7. Fees are non-negotiable.
  8. Model prices may be offered for some treatments in exchange for content photos from time to time, but this will need to be discussed and agreed with your nurse IF and when they are running content clinics. You must NOT assume that you will get a discounted rate in exchange for content photos/videos unless this has been previously discussed and agreed with your nurse. If you are having a treatement in exchange for content photos, a waiver must be signed by both yourself and the nurse. 
  9. You may agree to photos/videos being shared in a discreet way without opting to be a model. This does not guarantee you a discounted price on any treatment. 
  10. Offers and price reductions (unless previously stated on a price list) will not and cannot be given for any prescription only medication, such as botulinum toxin. Doing so is against the law.

Conduct

  1. Staff at JCW Aesthetics will always act and present themselves in a professional manner.
  2. Our staff will adhere to all policies and procedures to ensure the safety of the client as well as themselves and any colleagues that they may work with. 
  3. You have the right to be listened to and have your concerns addressed while you are under our care. 
  4. You have the right to feel safe and secure and be treated with respect at all times.
  5. Our staff have the right to feel safe and secure and be treated with respect at all times.
  6. We have a zero-tolerance policy for any harassment or abuse of any kind within our clinic settings and on social media or any other means of communication. Anyone who displays any form of abusive behavior will be barred from JCW Aesthetics services and may be reported to the police and charges may be pressed.

Complaints Procedure

  1. If there is any element of your treatment that you are not happy with, we would encourage you to speak with your nurse who will do their best to try and resolve this for you.
  2. If you are unable to resolve any issue with your nurse and wish to make a complaint in writing, please direct all correspondence to jcwaesthetics@outlook.com. All complaints will be thoroughly investigated and responded to within 72 hours of receipt. An initial response will be sent to the sender to inform them that their complaint has been received.
